Privacy Policy

This Privacy Policy describes how CoachSynQ (“we,” “us,” or “our”) collects, uses, and shares information when you use our website, our iOS and Android mobile applications, and related services (together, the “Services”). By using the Services, you agree to this policy.

1. Information we collect

  • Account and profile data: such as name, email address, phone number, city/state/ZIP, role (parent, coach, or administrator), optional profile photo, and for coaches additional business details you choose to provide (headline, bio, experience, certifications, policies).
  • Player data entered by parents: when you create a player profile for a child you are responsible for, we store the player’s first and last name, date of birth or age, optional notes (e.g. skill level, allergies), an optional headshot, and the parent’s responses to any registration questions a coach has defined for a session or camp.
  • Booking and program data: information generated when you book sessions, join camps or programs, request joins, pay, or reschedule — including times, locations, participants, payments, refunds, discount codes, and coach-defined registration answers.
  • Communications: messages sent between coaches and parents through the in-app messaging features, feedback submitted through contact forms, and support correspondence.
  • Photos and images: coach profile photos, parent profile photos, player headshots, and camp cover images that you upload from your device’s camera or photo library.
  • Push-notification tokens: when you enable notifications, we receive and store the push token your device provides (APNs on iOS, Firebase Cloud Messaging on Android) so we can deliver booking, camp, roster, payment, and message alerts. You can disable notifications at any time in your device’s settings.
  • Device and technical data: IP address, device and browser type, operating-system version, approximate (IP-based) location, cookies and similar identifiers, in-app session data, and server logs used for security and diagnostics.
  • Payment information: card payments are processed by our third-party payment processor (Stripe). We receive payment metadata such as confirmation status, amount, and the last four digits of the card — we do not receive or store full card numbers.

2. Mobile device permissions

Our mobile apps request the following permissions only to enable the features you use:

  • Notifications: to deliver booking confirmations, schedule changes, join-request updates, messages, and payment reminders.
  • Camera: optional, only when you tap to take a profile, player, or camp photo.
  • Photo library: optional, only when you tap to choose an existing photo to upload.
  • Network access: required to communicate with our servers.

Declining any optional permission only disables that specific feature; you can still use the rest of the app.

3. How we use information

  • Provide, operate, and improve the Services.
  • Create and manage accounts; authenticate users; keep sessions secure.
  • Facilitate bookings, scheduling, camp enrollment, coach–parent messaging, and payments.
  • Send transactional notifications and reminders via email, SMS where you provide a phone number, and push notifications.
  • Detect, prevent, and address fraud, abuse, payment disputes, and security issues.
  • Comply with law and enforce our terms.
  • Analyze usage in aggregate to improve product experience (where permitted).

4. How we share information

We may share information with:

  • Service providers who help us operate the Services under contractual safeguards. The main ones are:
    • Stripe — payment processing and payouts to coaches.
    • Apple Push Notification service — delivery of iOS push notifications.
    • Google Firebase Cloud Messaging — delivery of Android push notifications.
    • Our hosting and email-delivery vendors.
  • Other users where needed to operate the marketplace — for example, showing a coach’s public profile and location to parents, or sharing booking, enrollment, and messaging details between the coach and the parent who booked.
  • Legal and safety when required by law, legal process, or to protect the rights, safety, or property of CoachSynQ, our users, or the public.
  • Business transfers in connection with a merger, acquisition, financing, or sale of assets, subject to applicable law.

We do not “sell” or “share” personal information for cross-context behavioral advertising as those terms are defined by the California Consumer Privacy Act, and we do not knowingly do so for residents of other U.S. states with similar laws. We do not use your data to track you across apps or websites owned by other companies.

5. Cookies

On our website we use cookies and similar technologies for session management, preferences, security, and analytics. Our mobile apps do not use browser cookies but rely on equivalent local storage to keep you signed in. See our Cookie Policy for more detail.

6. Retention

We retain information as long as needed to provide the Services, comply with legal and tax obligations, resolve disputes, and enforce our agreements. When you delete your account (see Section 9), we remove or permanently de-identify most personal information on your profile; we retain a minimal record of past bookings, camp enrollments, and payments for accounting, fraud-prevention, and legal-compliance purposes.

7. Security

We use reasonable administrative, technical, and organizational measures designed to protect information, including encryption in transit (HTTPS/TLS) between your device and our servers. No method of transmission or storage is 100% secure.

8. Your choices and rights

Depending on where you live, you may have rights to access, correct, delete, or export certain personal data, or to object to or restrict certain processing. You may also have the right to lodge a complaint with a supervisory authority. To exercise rights, contact us. We may verify requests as permitted by law.

9. Deleting your account

You can permanently delete your account at any time:

  • In the mobile app: open Profile → Delete account and follow the confirmation prompt.
  • On the web: parents can delete from Profile → Permanent deletion; coaches can delete from Policies → Permanent deletion.
  • By email: write to info@coachsynq.com from the email address on your account and we will delete it for you.

Deletion removes your name, profile photo, contact details, and password, and deactivates the account so it no longer appears in the marketplace or in coach client lists. A minimal record of past bookings, camp enrollments, and payments is retained as described in Section 6.

10. Children’s privacy and parental consent

CoachSynQ is designed to be used by adults (parents, guardians, coaches, and staff) to organize and pay for youth sports activities. Children do not create their own accounts, do not sign in, do not receive marketing, and do not message coaches directly.

Information about a child is entered only by the parent or guardian when they create a player profile on the child’s behalf. By creating a player profile, the parent or guardian represents that they have authority to do so and provides verifiable consent under the U.S. Children’s Online Privacy Protection Act (COPPA) for us to collect and use the player’s name, age, optional headshot, and the parent’s answers to coach-defined registration questions, solely to book sessions, manage camp enrollment, communicate schedule and safety information, and provide related services.

A parent or guardian may review, correct, or delete their child’s information at any time from the player profile screen, or by contacting info@coachsynq.com. Deleting the parent account also removes the associated player profiles.

11. International users

If you access the Services from outside the United States, information may be processed in the United States or other countries where we or our providers operate.

12. Changes

We may update this policy from time to time. We will post the updated version and revise the “Last updated” date. Material changes may require additional notice where required by law.
